The entire reference process runs end-to-end in one tool — from capturing to rating, signing and sending it to the employee. No email ping-pong, no Word drafts circulating, no media breaks.
Choose the reference type — work reference, interim reference, employment confirmation (e.g. for authorities), employment attestation, Arbeitszeugnis 2.0 or apprenticeship reference. Then select the employee: thanks to the personnel upload they are already in the system.
Managers receive a personal, secure link (SSO) and rate directly in the browser — no account, no password, on any device. Multiple raters are possible, and HR can send it back for revision at any time.
Introduction, rating sentences and closing formula are suggested automatically — in the chosen language (DE/EN/FR/IT), matching the employment and reference type, and editable by hand at any time.
Collect signatures digitally by link. The reference then goes straight from the tool to the employee — or download it as Word or PDF.
Managers and employees don't need their own account: for their task (rate, sign, receive) they get a personal, secured link and work directly in the browser — on mobile too. Access is limited to their own reference and only while the task is open. HR signs in to the tool as usual.
Every step is documented in the tool: who rated, when it was sent back for revision, who signed when, when it was sent. Personnel changes are logged too — every change to personal data with timestamp, responsible person and before/after state. The status of every reference is visible at a glance — audit-proof and without email follow-ups.
Import employees via Excel list — template available for download. Name, function, workload, entry/exit dates and managers are then in the system and flow automatically into the reference. Individual people can always be added by hand. For automatic sync from your HR system a simple interface (REST API) is available — we're happy to set up the connection with you.
Functions and positions are maintained once centrally as a catalogue. For the reference you select the person's roles — and the matching tasks are suggested automatically for the position: professionally accurate, in correct impersonal reference language and in the right style depending on the function (leadership or specialist role). Tasks can be added, edited by hand at any time or supplemented by AI.
Text modules, rating categories, wording, opening sentences per language and reference layouts can be fully adapted to your company.
The tool works with your own Word templates — logo, header and footer, fonts and signature areas exactly as your documents look today. Multiple layouts per company are possible, for example per entity or brand.
On request, every manager can get their own dashboard and create references independently — from capturing to sending. HR keeps the overview and only steps in with a controlling function, if desired.
